Buyer Guide

Custom packaging RFQ and sample approval guide

A useful quotation starts with clear project inputs. A useful sample approval checks the complete box, insert, artwork, finishing, and packing plan before bulk production.

From RFQ to Approval

Three checkpoints for a clearer packaging project

Use these checkpoints to reduce missing information and make sample feedback easier to review.

  1. 01

    Prepare the project inputs

Share the product, target box structure, dimensions, quantity, decoration, insert needs, and delivery destination.

  2. 02

    Review the structure

Confirm how the product, insert, accessories, opening method, materials, and packing plan work together before sampling.

  3. 03

    Check the physical sample

Review the approved details as a complete packaging system, then record any changes before bulk production is arranged.

Quotation Checklist

Minimum details for an initial quotation

Provide what is already decided and mark what is still open for review. Exact material, structure, and finishing recommendations depend on the product and project requirements.

  • Product or product photos
  • Box structure or reference box/photo
  • Product or finished box size
  • Quantity
  • Printing and finishing requirements
  • Insert and accessory layout
  • Delivery country/region

Sample Types

Choose the sample type by what you need to confirm

Not every sample confirms the same details. Agree on the sample purpose and included materials, printing, and finishing before approval.

01

Structural or white sample

Use an unprinted structural sample to confirm dimensions, assembly, opening and closing, product and accessory layout, and insert fit. It cannot confirm final print color or finishing.

02

Digital printed sample

Use a digital printed sample to review artwork placement, text direction, image layout, and the overall presentation before production. Confirm any expected differences from production printing, materials, and finishing.

03

Production-representative printed sample

Use a production-representative sample when the project needs the intended materials, printing, and finishing represented as closely as the agreed sample scope allows. Record exactly which production details the sample includes before approval.

Sample Approval Checklist

What to check before approving a sample

Review the sample with the actual product and accessories whenever possible. Record approvals and requested changes clearly so every decision can be checked against the same project information.

Dimensions and assembly

Check the finished dimensions, folding or setup sequence, panel alignment, and whether the box assembles as agreed.

Opening and closing fit

Open and close the sample repeatedly to review lid, sleeve, drawer, tuck, or magnetic closure fit.

Insert fit and product position

Place the actual product in the insert and confirm support, retention, orientation, and presentation.

Accessory removal

Check that customers can identify and remove cables, manuals, tools, or other accessories without damage.

Printed text, graphics, and barcode placement

Review spelling, content, orientation, safe positioning, and the placement of every printed element.

Color against the agreed color proof

Compare the sample with the color proof agreed for the project and record any requested adjustment.

Foil, embossing, UV, and lamination

Check the location, alignment, coverage, adhesion, and overall appearance of the agreed finishing.

Surface, glue, edges, corners, and cleanliness

Inspect visible surfaces and construction details for marks, exposed glue, lifting, damage, or unwanted debris.

Packing and labeling

Confirm how finished boxes, accessories, protective materials, labels, and outer cartons should be packed.
